ABSTRACT
This study aims at implementing of electronic documentation and tracking systems using barcodes in modern business operations. It streamlines product documentation processes and enhance traceability through the integration of barcode technology within company operations. The issue of inefficient paper-based documentation processes and lack of real-time tracking capabilities which poses significant challenges for a company in ensuring transparency, traceability, and compliance throughout the product lifecycle.
The methodology that was adopted in achieving this work for implementing electronic documentation and tracking of company products using barcode technology were; assessment and requirement gathering, technology evaluation and selection, system design and development, pilot testing, deployment and integration, monitoring and optimization and continuous improvement and innovation. Intergating the aboded process, the company can systematically plan, execute, and refine its efforts to implement electronic documentation and tracking using barcode technology, thereby achieving its objectives effectively and efficiently.
The results obtained was a developed system that is able to digitize and centralize product documentation, integrate a barcode technology into the documentation system, enable real-time tracking of product movement from production to distribution and automate documentation processes to reduce manual data entry, indicate significant improvements in operational efficiency, accuracy, and traceability following the implementation of electronic documentation and barcode tracking systems. Streamlined workflows, reduced manual errors, and enhanced supply chain visibility were observed, leading to improved decision-making and customer satisfaction. The implementation of the additional barcode ID when compared to other initial researched work that was reviewed, this drastically reduced the delay in production and distribution activities in case of any device malfunctioning or associated with scanning of the barcode.In conclusion, the adoption of barcode technology within electronic documentation and tracking systems offers tangible benefits for companies, including improved efficiency, compliance, and responsiveness. However, challenges such as barcode readability under certain environmental conditions must be addressed through strategic investments in label design, equipment maintenance, and staff training. Overall, the integration of barcode technology represents a transformative strategy for optimizing business processes and driving competitiveness in today's dynamic marketplace.
